Purpose:

To oversee and integrate all strategic transformation initiatives for Envision Festival, ensuring alignment with the festival's mission and ethos while focusing on operational efficiency and community engagement. This role combines multiple strategic functions into one leadership position to streamline operations and manage a dynamic workforce effectively.

Accountabilities:

  • Develop and implement strategic transformation initiatives that align with the festival’s goals and values.
  • Assist in strategic planning and manage comprehensive transformation operations including community engagement and stakeholder relations for staff and volunteers.
  • Facilitate effective decision-making within the Transformation Team, ensuring coordination and efficiency in all strategic activities.

Domains:

  • HR Strategy and Policy Development: Holds authority over the development and implementation of HR policies and strategies.
  • Operations Management: Oversees all aspects of strategic operations including community engagement, strategic operations planning, and stakeholder relations.
  • Budget and Resource Allocation: Manages the transformation budget, ensuring resources are allocated effectively to support key strategic functions.

Responsibilities:

  • Lead the Transformation Team in executing day-to-day functions and strategic projects.
  • Oversee the development and implementation of community engagement programs to enhance the festival’s relationship with local communities.
  • Develop and implement strategic plans that enhance the operational efficiency and sustainability of the festival.
  • Monitor and ensure compliance with Costa Rican regulations and international best practices.
  • Handle high-level stakeholder relations issues, ensuring they are resolved in line with organizational values and legal requirements.

Authorities:

  • Approve strategic policies and decisions impacting transformation operations.
  • Allocate budget resources to meet strategic priorities and operational needs within the transformation function.
  • Make final decisions on hiring, promotions, and terminations for key positions within the Transformation Team.

Decision-Making:

  • Make autonomous decisions on strategic issues and policy implementations.
  • Collaborate with executive management for decisions with significant organizational or financial impact.
  • Use consensus-building techniques for decisions affecting multiple aspects of festival operations.

Interactions:

  • Collaborate with other Circle Leads to ensure transformation strategies support operational and strategic needs across the organization.
  • Report directly to the Executive Circle, providing updates and strategic input.
  • Engage with external advisors and consultants to ensure compliance and best practices.

Measurable KPIs:

  • Achievement of strategic transformation targets with 100% of initiatives implemented on time.
  • Maintenance of community relations with a satisfaction rate of over 90%.
  • Implementation of at least three new strategic initiatives that improve operational efficiency or stakeholder engagement.

Qualifications:

  • Advanced degree in Business Administration, Strategic Management, or a related field, or 20 years of experience in executive operations and systems architecture/implementation preferred.
  • Extensive experience in strategic management, ideally within a festival or event context, managing temporary and volunteer staff.
  • Strong understanding of Costa Rican regulations and international best practices.
  • Excellent leadership and interpersonal communication skills, capable of managing diverse teams and complex projects.

Tools and Resources:

  • Access to strategic management and project management software and all related data.
  • Use of organizational communication tools for effective collaboration.

Conflict Resolution:

  • Utilize mediation and conflict resolution strategies to address and resolve issues within the team.
  • Engage in regular feedback sessions to preemptively address potential conflicts.

Feedback Mechanisms:

  • Establish formal processes for receiving and integrating feedback from team members and stakeholders.
  • Conduct regular feedback sessions to ensure continuous improvement and alignment with organizational goals.

Review and Adaptation Process:

  • Conduct monthly reviews to assess the effectiveness of strategies and initiatives.
  • Adapt strategies and operational plans based on feedback and changing organizational needs.

Succession Planning:

  • Develop a succession plan to ensure continuity, including training and identification of potential successors.
  • Provide mentorship and development opportunities for team members to prepare them for future leadership roles.

Compensation (Temporary Contract):

  • Contract Rate: $4,500 paid at the end of each month service is rendered, for up to 40 hours of logged work weekly, reflecting the strategic importance and comprehensive responsibilities of the role.

Estimated Duration of Agreement:

  • The contract takes effect upon execution and is at will, with either party giving 30 days notice.

Time Commitment:

  • Expected to commit 30-40 hours per week, increasing as necessary during peak pre-festival and festival periods.

Suggested Start Date:

  • June1st, 2024 to begin strategic operational planning and setup for the upcoming festival.
