Sera Quick Reference Card

A one-page reference for working with Sera day to day. It covers how to send content in, what Sera creates, where to find the drafts, and how to ask Sera questions well. The guiding principle is simple: Sera proposes, humans decide.

Sera is your organization's institutional memory assistant. This card is the short version of everything you need to work with it.

How to send content to Sera

You have several equally valid ways to get material into memory:

  • Forward an email thread to your capture inbox.
  • CC the capture inbox when you send a message so it is captured as it goes out.
  • BCC the capture inbox when you would rather other recipients not see that memory is being captured.
  • Send directly to the capture inbox — a note, a summary, or an attachment on its own.

Google Meet assets are automatic. When a recording, transcript, or Gemini notes document is generated for a meeting, the notification email flows straight to Sera with no forwarding required on your part.

What file types Sera understands

Sera can read the formats teams actually use:

  • PDF documents
  • DOCX and other common word-processor files
  • Images such as JPEG, PNG, GIF, and WebP (Sera describes what it sees)
  • Plain text and Markdown notes
  • Google Docs, Sheets, and Slides

What Sera creates

Sera never publishes finished, approved records. It reads what you send, extracts the meaningful pieces, and creates Draft and Candidate records across the 29 databases: meetings, messages, tasks, decisions, risks, profiles, spend, vital signs, and more. Everything it produces is a proposal waiting for a human to confirm, edit, or discard.

Where to find the drafts

Everything lands in Notion, where you can review it:

  • Open any database and filter by Status = Candidate or Status = Draft to see what is new and unconfirmed.
  • Check the Memory Review Queue, which gathers memory candidates flagged for human attention in one place.

Reviewing regularly keeps memory accurate and keeps the drafts from piling up.

How to ask Sera a question

When you want an answer rather than to add memory, there are two paths:

  1. Open the Ask Sera tab on the dashboard and type your question.
  2. Start a message with "Hey Sera" and ask directly.

Sera will answer using your organization's records and point you toward the source when it can.

Four things worth knowing so you get more out of a question:

  • Search works by meaning. Your words do not have to match the words in the record. "Who is worried about money?" finds a risk written as "cash flow concern."
  • You can ask for a picture. "Show me spend by project as a bar chart" or "chart the task backlog over time" renders the chart in the conversation, drawn from records retrieved in that same answer.
  • You can ask for the receipts. Statements carry their source. "Where does that come from?" gets you the record and the date behind the claim.
  • You can ask what changed. "When did this due date move, and who moved it?" reads the record's history, which Notion itself does not show you.

A word on privacy

Sera answers only from your organization's own records. It does not search the web, and it cannot see or draw on any other client's data. What you put in is what it knows, and nothing leaks in or out.


The core principle

Sera proposes, humans decide. Sera is fast, tireless, and good at surfacing what matters, but it never approves canon, closes decisions, or finalizes records on its own. Your review is the step that turns a draft into trusted institutional memory. Keep that habit and Sera stays an asset rather than a backlog.
